This article contains information about the levels of permission that exist on FutureLearn and what they allow you to access. For instructions on how to assign and remove permissions, please see How to assign permissions and roles - please note that you will need to sign into the Partner Site with your institutional email address to view this article.
About permissions
When your course proposal is approved and your course shell is set up, the first task is to invite educators or team members to access the course in Course Creator via permissions.
If you are working as part of a team, decide early who will be working on course development and make sure everyone understands their responsibilities. This will help when assigning permissions and roles.
Roles
Roles are labels that show learners who is an official member of the course team. They are not the same as permissions and do not change what a user can access in Course Creator. For more about Roles, please see our explainer on Roles.
Organisation wide permissions
Each partner has their own organisation area. Gaining access to your organisation's area within Course Creator requires permission.
Only FutureLearn Admins can assign organisation-wide permissions. To request them, please contact partnersupport@futurelearn.com, and include the email address and desired permission in your message.
The table below describes permissions that apply to the whole organisation, rather than one course or a selection of courses.
Organisation admin |
The only permission that allows you to view and manage all courses by the organisation, submit proposals and access the certificates tab. We require authorisation from your project lead or primary contact before we can assign this permission. Please carefully consider whether the requester needs edit access to every course. |
Learning Manager |
Can view, invite and manage learners in Learning Manager |
Student Recruitment Representative |
Can access the Marketing tab and download lead generation reports |
Integrations Admin |
Can view configuration settings for API and LTI integrations with student record systems |
Course run permissions
Anyone with the Organisation Admin permission can assign and manage permissions for individual course runs using the Team tab for the relevant run in Course Creator.
With any of these permissions, team members can see locked test steps and retain long-term access to the courses covered by their permissions without having to upgrade.
Permission Type |
What this permission level can and can't do in Course Creator |
Author |
Can view and edit content of individual courses. Can also access stats and view survey results. |
Reviewer |
Can join and view individual assigned courses at any time, including when it's in draft but cannot make edits. Certificates are not available to Reviewers. |
Facilitator |
Like a reviewer, but also with access to facilitation tools, and can comment in any study group (degrees). Cannot make edits to course content. |
Co-creator |
Co-creator is like a facilitator but can edit content. |
Marker |
Like facilitator, but can also set up and mark tutor marked assignments and add feedback to portfolios. |
When a staff member receives a permission invite email, they will be prompted to register or sign in to FutureLearn. At this stage, or at a later date, they can populate their profile and settings.
Primary educator
The primary educator is the educator whose name is used in the default signature for all course emails. By default, they also appear as the person delivering feedback on quizzes, polls, and tests, but this can be manually changed at the time you build your assessment.
This is different to the Lead Educator role, which shows a label next to the educator's name when they post in the comment section and allows them to appear on the Course Description Page. A Lead Educator on a course is often also the primary educator, but it can be anyone on the course team.
Please contact contact courses@futurelearn.com before the course goes live so that our team can set your primary educator.
Microcredential and degree permissions
When a user receives a Program permission, that level of permission will apply to every run of every course in that program.
