Who can assign permissions?
For individual courses and programs, any organisation admin can assign permissions by following the instructions below.
Only FutureLearn admins can assign or remove Organisation Admin, Learning Manager and Student Recruitment Representative permissions. If you or your colleagues require changes to any of these permissions, please contact partnersupport@futurelearn.com. We will need the email address and permission level of the team member.
Assign permissions or roles for a single course
To assign permissions for one course, go into the course admin page in Course Creator and click on the Team tab.
In the Team tab, click on Assign role or Assign permission as appropriate.
You will see a text box and a list of permissions. Start typing the user's email address into the text box. If they already have permissions at your organisation, their name will appear below the box.
Otherwise, type in the full email address and click on "New team member" below the text box. The address should then show in a grey box with a pink X; if you have mistyped anything, you can click the X to remove the address and start again.
Choose the permissions you'd like to assign by clicking on the check boxes next to them. You can choose as many as you need. Then, click on the solid pink button to confirm.
Importing content to a new course run does not import permissions. Please ensure that you assign the correct permissions to your team members with every new course run - otherwise they will not have access to the areas of the course they need to use.
Regarding roles
Assigning a role to a team member makes them identifiable as a team member to learners. When the team member posts a comment on a course step, learners will see a label next to their name showing their assigned role.
Unlike permissions, roles are copied from one course run to the next.
What happens next
If the team member you are adding already has permissions with your organisation, you can type their name into the text box to add them. They will immediately be able to access the course.
If the team member is new to FutureLearn or your organisation, enter their email address into the text box instead of their name. This will send them an invitation to join FutureLearn and access the course with the assigned permissions. If they are already logged into FutureLearn, this will sign them out and require them to log in again. Please avoid creating multiple accounts if at all possible.
Assign permissions for a program
To assign permissions for a program, go to your organisation's Programs tab and find the course you need to edit. Underneath the course title, click on Manage team.
As with course-level permissions, you will need to click on Assign permissions and enter the team member's name or email address into the text box that appears.
What happens next
To edit a course within a program, the team member will need to join it. They should do this by going to the Course Description Page and clicking on Enrol without paying on the top right of the screen. They will need to do this for every run of the course.
Removing permissions and roles
To remove a team member from a course or program, go to that course or program's team area and find them in the list of team members. Each permission linked to their account will have a pink X next to it; click on the X to remove their permissions or roles.
Only FutureLearn admins can remove Organisation Admin, Learning Manager and Student Recruitment Representative permissions. If you need to remove any of these permissions from a team member, please contact partnersupport@futurelearn.com
