To remove a learner from Learning Manager, go to the Learners tab and search for the learner.
When you have found the learner, click on Remove next to their name.
This will delete all of the learner's details from Learning Manager and unenrol them from any private courses they may have joined. If they have any course invitations still pending, they will not be able to accept them.
If you remove a learner from your organisation you will still have to pay for any enrolments they have. However, FutureLearn can manually intervene if you think the learner should not have enrolled in the first place.
How does removing a learner affect reports?
Removing a learner from Learning Manager will remove them and all of their data from reports. This is retroactive, meaning they will not be included in reporting from the moment you remove them.
If you plan to remove one or more learners from Learning Manager, please ensure that your records are up to date first.
Removing learners from just one course
Short courses
It is not currently possible to remove a learner from just one short course. If you require learners to be unenrolled from a course, please contact support@futurelearn.com and give details of the course name, run number, and learners to be removed - include the learner's email address if you have it, or their Learning Manager learner ID if not.
Programs and Microcredentials
To remove a learner from a single course in a Program or Microcredential:
- Go to the Programs tab in Learning Manager. If you are working with a Microcredential, these tabs at the top level of Learning Manager can be used interchangeably.
- Locate the learner you want to remove.
- On the learner information page, click on Programs (this will always say Programs even if the learner is enrolled on a microcredential).
- Find the course you want to remove the learner from and click on Remove in the 'Actions' column.
This is useful if you don't need to remove them from Learning Manager entirely, but may need to swap them to a different presentation (for example, if you are deferring them from one year to another).
Scheduled actions
Learners who have not logged into FutureLearn for 365 days will automatically be removed from Learning Manager. This is to ensure compliance with data protection legislation.
Please take the following steps to protect against data loss:
- Ensure you carry out regular routine reports. This will ensure the retrospective accuracy of your data.
- Issue regular reminders to your learners to log into FutureLearn if it is important for you to keep their data.
GDPR compliance
Learners sometimes contact our Community Team to request removal of their data from FutureLearn. This constitutes their "right to be forgotten" under the GDPR and we must comply with their request within 28 days.
An account that is linked to Learning Manager cannot be deleted from FutureLearn. The Community Team will therefore contact you to notify you that the learner has exercised their right to be forgotten, and to ask you to remove the learner from Learning Manager and your own records.
If you are happy for the Community Team to remove learners from Learning Manager on their request without needing to ask your consent, please indicate this to your Partnership Manager. Otherwise, the Community Team will contact you on a case by case basis as and when such requests come in.
